Adding a New User

Adding new a new user to Aware is a simple and quick task. You must have administrative permissions and then you will see System Settings at the bottom of your left hand navigation bar.

Important note! Do not select View Roles when creating the new user. The user will not be created if you try to assign the role during initial creation. 

1. Navigate to System Settings > User Management > and click Add a User

2. Enter the First Name 

  • Maximum length is 150 characters 
  • No restrictions on characters 

3. Enter the Last Name

  • Maximum length is 150 characters 
  • No restrictions on characters

4. Enter an Email Address

  • Maximum length is 254 characters
  • Must be a valid email address 

5. Once the user has been created, then you can add it to a Role. 

Adding a User to a Role

  1. Go to System Settings > Roles

  2. Either scroll the list of Roles or search by Role name.

  3. Select the Role in the list.

  4. Click Users.
    The list of users currently assigned to the Role is displayed.

  5. Click Add Users.

  6. Either scroll through the list of users or search for the user by typing characters in their name.

  7. Select the checkbox for the user you want to add to the role.

8. Click Add users.

9. Click Update Role.

Password Reset

In order for this new user to access Aware, you will need to trigger a password reset email. Upon this user resetting their password, they will be able to log-in and have access to the appropriate Aware Applications. 

The password reset email will expire after 5 days. Once the individual resets their password, they will automatically be directed to the Aware environment. It is good practice to send the new user a link to the Aware Help Site (https://support.awarehq.com), connect them with your Customer Success Manager and share the link to your environment: https://aware.work.

1. Trigger a password reset email by selecting the newly created users row

2. Under Personal Information, select the Send Reset Password button

3. Once you have received confirmation of the password reset email being sent, navigate back to User Management
