      Welcome to 🔌 Plugged Into Aware, our monthly newsletter that brings you up to speed on all things Aware while providing insights on ways other Aware power users are utilizing our various capabilities! As we dive into the new year it’s important to remember the significance of the phrase “out with the old,” and in this month’s issue the old is focused on your collaboration data that has been quietly sitting in your collaboration platform, waiting to cause a problem for your organization. A Retention Policy is an effective way to manage and control this data by removing sensitive information and preserving insightful knowledge with just a couple clicks. As you continue reading you will learn how Aware’s Data Management capabilities has made it possible for organizations to feel confident with their employee’s engagement on collaboration platforms.

      🚨MAJOR PERMISSIONS UPDATE COMING SOON🚨

      Within the next couple of weeks, you can expect to experience a change to user permissions. Aware will be introducing new role-based access controls (RBAC) that will empower you to add and manage new users in the Aware platform while maintaining the right level of access to functionality and data. Admins will be able to manage groups of Aware users based on their role in the organization with robust and intuitive ways to manage data access and permissions in Aware. In order to ensure a successful transition into this new process, please take this one question survey and we will be in touch!

      💪 EMPOWERED: AWARE USER STORIES

      A financial service company had a standard retention policy for their emails but with a shift in technology and “WFH” culture, they quickly realized employee emails weren’t the only records they had to manage. Their collaboration platform became the main source of conversation and started housing significant amounts of classified information, with no formal processes to manage this data. It also became a high risk for data breach, a costly risk they didn’t want to take. Luckily, Aware’s Data Management capabilities became their solution to strategically retain data and preserve institutional knowledge.

      Today, this company feels much more assured their employee engagement within their collaboration platforms is formally managed and protected due to the robust retention policy they implemented. This allows them to purge old and liable data over a set time period in order to reduce their legal risk and continue productive business.

      Aware’s granular Data Management features, such as Retention policies, help support a secure and effective digital work environment.
