Implement a Retention Policy

Are you or your legal team looking to implement a Retention Policy for content on Meta, Slack or Microsoft Viva Engage? Our Retention application will accomplish just that, keeping your organization compliant.

Please note, that when you set up a Retention Policy, it will hard delete qualifying content from Meta, Slack, Microsoft Viva Engage and the Aware Intelligent Data Fabric. If you need to preserve specific content from an individual due to a legal hold or for a specific business reason, our Data Hold application will prevent the deletion of content at the individual level.  

1. Navigate to the Retention application

2. Select the Create a Retention Policy button

3. Choose the desired Content Platform (you are required to have different policies for Microsoft Viva Engage, Slack and Meta)

4. Select Policy Type

  • Aware + Content Platform : Content will be deleted from BOTH the Aware platform and Content platform
  • Aware Only : Content will ONLY be deleted from the Aware platform

5. Select the Policy Scope

One Rule for All Source Types: This option will set one retention boundary for all content within Microsoft Viva Engage, Slack or Meta, including public and private content

Create Unique Policy Rules: This allows you to apply and define different retention periods for different types of content, private, public, 1:1 chat, etc...

5. Set the number of days for your Retention Period (Hint: convert weeks, months and years into days)

6.  You have the option to set specific Group/Channel exceptions to your retention policy. This Group/Channel will have its own retention period. Ending an exception releases the group back into existing retention periods.

7. Review your selections and Create Policy
